Position: Administrative Assistant – Science & Technology Center

Status: Non-exempt; Full-time

Salary: $14.00-$18.27

Summary Of Duties:

  • Provide administrative support to the Science and Technology Center (STC) Department Chairs, Instructional Designer, and Dean of Instruction in compiling data, composing reports in regards to statistical data, grant fiscal management, and accreditation documents as requested.
  • Type correspondence, memos, letters, reports, purchase requisitions, and other documents per request of the Academic Affairs Department Chairs and Dean of Instruction located in the STC and the Instruction Designer.
  • Greet and accompany visitors to appropriate department personnel; directs phone calls to appropriate faculty and staff.
  • Attend meetings, record proceedings, take minutes, and type reports as requested, with a high level of accuracy and professionalism.
  • Schedules appointments, airline schedules, travel requisitions for STC faculty, Instructional Designer and Dean of Instruction, as requested.
  • Collaborate with Finance Department staff with grant budget and reporting, expense requests, purchase orders, and travel required documentation.
  • Assist STC Department Chairs, Instructional Designer, and Dean of Instruction in recording and tracking budget expenditures and allocations.
  • Serves as primary point of contact and liaison with other departments, individuals, and external agencies and vendors on a range of issues.
  • Supports in the coordination of classroom and special event scheduling.
  • Assists in coordination, control, and completion of special projects as requested.
  • Maintains office supply inventory, and organizes and updates files.
  • Delivers paperwork to various campus offices, as needed.
  • Maintain the organization of the STC Student Lounge, computer lab, breakroom, and designated storage rooms.
  • Facilitate all incoming mail; sort and distribute.
  • Perform all other related work delegated or required to accomplish the objectives of the college.

 

Supervisory Responsibilities: None

Working Conditions:

  • General office conditions
  • Normal working hours are from 8:00 a.m. until 5:00 p.m. with one hour for lunch.
  • Monday through Friday

Physical Demands:

  • Regularly be able to remain in a stationary position.
  • Occasionally move about inside an office and classroom.
  • Operate a computer and other office/classroom equipment.
  • Occasionally move, transport, or position up to 10 pounds.
  • Communicate clearly and effectively.
  • May need to ascend/descend stairs.

     

Minimum Qualifications:

  • High School Diploma or GED with three (3) years working experience in Office Management -OR-  AA/AAS Degree in Office Technology.
  • Must have a valid ND Driver’s License and be insurable under UTTC’s insurance carrier. A copy needs to be submitted with application.

Knowledge & Skills:

  • Knowledge of American Indian Tribes, cultures, and histories desirable.
  • Ability to create and modify documents using Microsoft Office products, such as Publisher and Excel, as well as Adobe Acrobat Pro.
  • Must have knowledge of office administration with a high level of accuracy in preparing and entering information.
  • Utilizes knowledge and understanding of operational management to assist in administrative problem solving.
  • Excellent written, verbal, and presentation communications skills.
  • Must be effective at communication, organizational skills, stress management, and time management.
  • Ability to establish and maintain cooperative and effective working relationships with others.
  • Able to interact cooperatively and effectively with students, staff, colleagues, community members, vendors, and other professionals.
  • Must be a self-starter, work independently without direct supervision, be punctual, and be an effective team member.
